Our rental villas provide services and set prices based on the manners and morals of our guests. To ensure a safe and comfortable stay, we have established the following terms of use in accordance with Article 9 of the Accommodation Terms and Conditions, so please be sure to abide by them.
If you fail to abide by these terms, we may have to cancel your accommodation contract. In such cases, please be aware that no fees or other charges will be refunded.
In addition, you will be deemed to have agreed to these terms and conditions at the time your name is recorded on the guest list.
About the use of the villa
If the number of guests exceeds the capacity, the villa will not be available. In addition, you cannot invite friends or relatives who are not staying overnight to use the villa, garden, multi-purpose plaza, or garage (however, with the “Kumakogen Town Residents Only/Welcome Home Plan,” you can invite relatives who are not staying overnight to have meals, etc.).
Pets are not allowed to stay with us according to our villa rental policy (This does not apply to dogs that are permitted to accompany guests, such as guide dogs, service dogs, and hearing dogs.).
About our rental villa
- For health, safety, and fire prevention reasons, smoking is strictly prohibited inside the building. Smoking outdoors is permitted only in designated areas due to the flammability of the surrounding area.
- Please refrain from removing any items from the building.
- You may not take any equipment or fixtures from the building with you.
- For fire safety reasons, we do not allow barbecue grills to be brought in. Please use the rental grills provided by us (charges apply; includes charcoal, tongs, grill, and fire starter).
- Please refrain from trespassing on adjacent land or collecting wild vegetables in the surrounding area, as they may be grown by neighbors.
Regarding usage
- Minors are not permitted to use the facility alone.
- Please refrain from any behavior that disrupts public morals or peace, shouting, singing, playing musical instruments without permission, loud conversations, or any other behavior that may disturb local residents.
- In light of disaster prevention and firefighting measures, bonfires are prohibited.
- Only hand-held fireworks are permitted. If you intend to use fireworks, please contact the property in advance. Please ensure that water is available in designated firework areas for fire extinguishing purposes.
- Please separate your trash into recyclable trash (cans, bottles, plastic bottles, metal items) and other trash and place them in the designated areas. (Please take large trash such as styrofoam home with you.)
When enjoying a barbecue or outdoor meal, please be sure to observe the following:
- To prevent oil stains on the floor, please use plates to carry meat and other food grilled on the garden BBQ grill to the outdoor wooden deck.
- In an emergency, add water to the charcoal bucket to extinguish the fire.
- After use, you can leave the ashes as they are, but be sure to place the charcoal in the charcoal holder and close the lid. Make sure there is no sign of fire in the grill or ash tray. Also, to prevent it from burning, do not place the charcoal holder on the wooden deck.
- Please dispose of any leftover grilled or uneaten food as garbage and do not leave it lying around, as this will attract wild animals.
- After using cooking utensils and dishes, please lightly wash them and place them face down in the sink.
- Staff will come in and out to clean after check-out time.
Other matters to be observed
- Please read the terms and conditions carefully.
- During your stay, please make sure the door is locked when you leave the rental villa.
- Please also make sure it is locked when you go to bed. If you have visitors, please do not open the door carelessly and check them. If you suspect a suspicious person, please contact the manager or the police immediately.
Pet Policy
Pets are not permitted at our rental villa. We appreciate your understanding as some guests may have allergies to pets.
Accommodation terms and conditions
Article 1: Scope of Application
- These terms define the contract between Senbon Terrace (“we” or “Owner”) and the guest (“you” or “Guest”) regarding accommodation and related services.
- Special agreements may take precedence over these terms if they do not violate laws or regulations.
Article 2: Application for Accommodation Contract
- Applicants must provide:
o Guest name(s)
o Accommodation date(s) and expected arrival time
o Accommodation fees (as listed on our website)
o Any additional information we deem necessary - If guests request an extension beyond the originally booked date during their stay, that request will be treated as a new contract application.
Article 3: Formation of Accommodation Contract
- The contract is effective when we accept your application, unless we can demonstrate otherwise.
- Upon contract formation, the accommodation fee must be paid by the date specified by us.
- Failure to pay by the specified date will void the contract—provided we have informed you of this consequence in advance.
Article 4: Refusal of Contract
We may refuse to enter into a contract in cases such as:
• Requests not compliant with these terms
• Fully booked periods
• Suspicion of guest behavior contrary to laws, public order, or morals
• Guest affiliation with organized crime or antisocial forces
• Potential for significant disruption to other guests
• Contagious disease
• Unreasonable demands
• Incapacity to provide accommodation due to natural disasters or facility failure
Article 5: Guest Right to Cancel
- Guests may cancel the contract by notifying us.
- If cancellation is due to guest fault, cancellation fees will apply as specified on our website.
- If you fail to arrive by 7 p.m. on the check-in date (extending by two hours if you previously provided an expected arrival time), we may assume cancellation.
Article 6: Right of Owner to Cancel
We may terminate the contract if:
• Guest behavior violates laws, public order, or morals
• Association with organized crime or antisocial forces
• Guest causes significant disturbance to others
• Guest has a contagious disease
• Unreasonable demands or violent behavior
• Force majeure such as natural disasters or unrest
• Violation of important rules (e.g., indoor smoking, tampering with safety equipment)
Article 7: Registration
On the day of check-in, guests must register:
• Names, addresses, occupations of all guests
• A portrait photo via our tablet (check-in is unmanned)
• For foreign guests, nationality, passport number, and a copy of the passport
• Any other necessary information we request
Article 8: Use Hours
Guests may use the villa from 3:00 p.m. on the check-in day until 10:00 a.m. on the check-out day. For consecutive stays, the villa is available all day except on arrival and departure days.
Article 9: Compliance with Rules
Guests must adhere to these terms and all villa rules during their stay.
Article 10: Payment of Fees
- Accommodation fees are as listed on our website.
- Fees must be paid by the due date via credit card, bank transfer, or on-site payment as arranged.
- If you choose not to stay after we have made the villa available, full payment is still required.
Article 11: Liability of the Owner
- We are liable for damages if caused irresponsibly during contract performance. However, we are not liable if not at fault.
- We maintain liability insurance in case of fires or other emergencies.
Article 12: Handling of Left Items
If you leave belongings after check-out and the owner is identified, we will ask for your instructions. If unclaimed, items will be stored for 7 days including the day found, then disposed. Perishables or disposables will be discarded immediately.
Article 13: Parking
We provide parking space as a courtesy; vehicle supervision remains the guest’s responsibility.
Article 14: Guest Responsibility for Damage
Guests are liable for damage incurred through their intentional or negligent actions. These terms may change without prior notice.
Article 15 (Other)
If the accommodation terms and conditions are written in multiple languages and there is any inconsistency, discrepancy, contradiction, or other discrepancy between the terms and conditions, the Japanese version of the accommodation terms and conditions shall prevail.
